Business Policies

Simple guidelines for stress-free visits

Caring for teens and children means keeping things running smoothly for parents, caregivers, and our medical team. Alabama Pediatric’s policies are here to make sure you know what to expect, avoid surprises, and get the most out of every visit.

Please take a few moments to review them as they’re designed to help us provide the best care possible.

Business Policies

Weekdays: Phones answered Monday–Friday, 8 a.m.–4:30 p.m. Our office officially closes at 5 p.m.
Saturdays: Available most Saturdays from 8–11 a.m.*

Calls outside business hours go to our answering service. If your call is connected to our nurse triage line at your request, a $15 after-hours nurse fee will apply.

Always call 911 in an emergency.

*Saturday hours may vary.

  • Forms: Blue forms, sports forms, daycare forms, and other requests require up to 48 hours to complete. $10 fee if requested outside of a well visit.
  • Same-Day Forms: $25 fee if staff is available to complete.
  • Prescription Refills: Allow up to 24 hours for processing. Patients must confirm pharmacy stock. If your pharmacy is out, call us for a new request.

COPAYMENTS ARE DUE AT THE TIME OF SERVICE

A $10 fee will be charged for copayments made after the patient has checked out at our payment window. There are no exceptions to this policy.

*Allow at least 48 hours for forms to be ready for pickup.
** FMLA Forms will take up to 5 business days to complete, and the charge
applies regardless of appointment status.
Exceptions to form charge(s) apply when forms are brought to a scheduled well
visit. This does not apply to FMLA forms.

CHANGES TO FEES MAY BE MADE WITHOUT ADVANCE NOTICE.

If paying with cash, please have the correct change.

We follow the CDC and Advisory Committee on Immunization Practices immunization schedules. New patients must agree to these guidelines (optional vaccines like COVID and flu are not required).

The adult bringing the child must update insurance, address, and phone number at every visit. If a non-parent is bringing your child, please call ahead to arrange updates.

We’re happy to offer appointment reminder calls to the primary phone number we have on file. Think of these as a friendly nudge to help busy families keep track of their schedules.

However, reminder calls are a courtesy and parents and patients should still add all appointments to their personal calendars. No-show and late cancellation fees will apply whether or not a reminder call is received.

Our focus is your child’s health and well-being.

  • The adult bringing the child is financially responsible for the visit.
  • Both parents have access to records unless a court order says otherwise.
  • Updated court orders must be provided to us.
  • Disruptive conflicts may result in dismissal from the practice.

To join our practice:

  • Your child must be fully vaccinated per CDC/AAP guidelines.
  • Provide records from your current provider.
  • Provide current insurance info (we are not Medicaid providers).

We see newborns at UAB, UAB St. Vincent’s, Brookwood, and Grandview hospitals. We also offer complimentary prenatal consultations. Add your baby to insurance within 30 days of birth to avoid coverage gaps.

  • Bring your insurance card to every visit.
  • Know if your plan requires a Primary Care Provider and update it before your appointment.
  • Copays and balances are due at the time of the visit.
  • Services not covered by insurance must be paid within 30 days.
  • Balances over 90 days may be sent to collections and could result in dismissal.
  • Missed appointments: $35 fee.
  • Late cancellations: Must be made at least 24 hours in advance; otherwise, a $35 fee applies.
  • Late arrivals: More than 15 minutes late may be considered a missed appointment.

We strive to provide exemplary care for each patient.

It is the responsibility of each patient or patient representative to arrive on time for each appointment, pay balances promptly, and participate in courteous communication with our staff and medical providers. Alabama Pediatrics reserves the right to dismiss a patient from our practice when we feel that the patient’s care may be best served at another medical office. In this situation, we will assist patients or their representative with the transfer of care to another medical office and will provide interim care for 60 days to ensure continuity of medical care.
